Terms and conditions

Purpose

E-invoicing gives customers of Helan health insurance fund (hereinafter "the customers") access to their invoice details via the e-services, so that they can manage and analyse their costs and their budget.

Liability

Except in the event of a deliberate breach and/or mandatory legal provisions to the contrary, Helan health insurance fund declines all liability for any loss or any damage (direct, indirect, material, immaterial, etc.) in connection with:

  • the accuracy and consistency of the data available in e-invoicing compared with the data in the official documents the customer receives before or during the use of My Helan
  • and the period that elapses between the execution of a transaction and the accessibility of the transaction data via e-invoicing

Procedure, activation and deactivation

The customer must activate e-invoicing via the e-services and can deactivate this option at any time via My Helan.

Confidentiality and protection of privacy

Customers of Helan health insurance fund can consult their invoice details electronically. E-invoicing enables the customer to consult and print online the official invoice linked to their customer number with Helan health insurance fund and originating from the invoicing system of Helan health insurance fund.

This concerns the following elements in particular:

  • the invoice details of outstanding invoices (the customer can download these details)
  • the details of the services charged on the most recent invoice (the customer can download these details)

Helan health insurance fund will not provide paper duplicates of electronic invoices. The general terms and conditions for users of the websites of Helan health insurance fund also apply.

Activation

The customer activates e-invoicing via "My Settings" in My Helan. Helan health insurance fund sends the customer a notification to the email address they provided when registering for the e-Box. If the customer chooses to receive invoices electronically, they will no longer receive invoices on paper.

Liability

The maintenance and development of the invoicing systems may lead Helan health insurance fund to restrict or suspend the e-invoicing service. Helan health insurance fund undertakes to limit the duration of such restriction or suspension to the period strictly necessary to carry out the work. It will inform customers by any appropriate means.

Invoice notification

When an invoice is available in e-invoicing, Helan health insurance fund will notify the customer by the means the customer chose when registering. Customers who have activated e-invoicing via My Helan receive a notification at the email address they provided when registering for My Helan. Once e-invoicing has been activated, the customer can change this email address via "My Settings" in My Helan.

General provisions

The customer is responsible for entering and updating their email address correctly. The customer undertakes to consult the e-invoicing service of Helan health insurance fund and the email address and/or mobile number they provided for e-invoicing purposes regularly and proactively, in order to check whether invoices are available. Invoices must be paid before the date stated on them, regardless of whether the customer has received, opened or read the electronic notifications about the invoices. The payment terms and reminder procedures under the conditions applicable to the products or services supplied continue to apply unchanged.

Duration and termination

Helan health insurance fund and the customer may terminate the e-invoicing service of My Helan at any time. Termination means that the customer will receive invoices on paper again. Termination in no way affects the rights of Helan health insurance fund to payment of outstanding invoices. Helan health insurance fund reserves the right to amend these specific conditions. It undertakes to notify the customer of this by any appropriate means 15 working days before the changes take effect.

General framework: Zoomit allows you to receive invoices in digital format (PDF). To do so, Zoomit uses the secure environment of your PC banking.

  • Only the customer themselves or the director of the company can register to use Zoomit.
  • You are solely responsible for the details you enter (account number). If these details change at a later date, you must update them yourself via My Helan. My Helan uses the details you provide (account number). My Helan is therefore not liable for the accuracy of these details.
  • My Helan uses the details you provide solely for the performance of the statutory task of Helan health insurance fund. Under no circumstances are the details disclosed to third parties.
  • Once you have entered and saved your details, you accept receipt of your invoices in digital format (PDF) from the day after your registration, via your PC banking environment.
  • The saved details will only be used from the day after your registration. However, you may still receive some invoices by post shortly after registering.
  • The Zoomit application is currently only available to customers of the banks listed on zoomit.be.
  • No paper duplicate is sent of invoices supplied exclusively in electronic format. 

The e-Box is an electronic letterbox in which you, as a member of the Helan Online Office, can receive documents from Helan health insurance fund in a centralised and secure way. The e-Box is intended to bring together all interactions with our members in one place and to reduce printing on paper. This means you will no longer receive correspondence by post (where the alternative is possible). The e-Box is a service offered to all our customers who are affiliated to the compulsory insurance, the supplementary services or any health insurance fund product, such as Hospitalia or Dentalia Plus. You can activate or deactivate your e-Box at any time under "My Settings" in the Helan Online Office.

Messages sent via the user's information system using the signature certificate of the electronic identity card are accompanied by an electronic signature as referred to in Article 1322, paragraph 2, of the Civil Code.

The electronic signature is a set of electronic data that can be attributed to a specific person and demonstrates that the content of the deed has retained its integrity. This definition meets the requirement of a signature that gives a private deed the same evidential value as an authentic deed.

The user expressly acknowledges that all messages sent via the information system and accompanied by an electronic signature have the same evidential value as a private deed within the meaning of the Civil Code.

The user expressly accepts that all information relating to these messages is stored permanently by the suppliers of the information system and cannot be modified. The information has the same evidential value as a private deed within the meaning of the Civil Code, unless proven otherwise.

The user expressly acknowledges that the signature affixed by means of their electronic identity card is their own. In the event of misuse, loss or theft, the user must inform the competent police services and, as far as possible, notify Helan health insurance fund.

  • You can delete your Helan Heroes account yourself via the app: go to "Profile" and select "Delete account". This permanently deletes your account details.
  • You can also send an email to appsupport@helan.be asking for your account to be deleted.
